TERMS AND CONDITIONS

Cambridge Rowing Experience (“Cambridge Rowing Experience”, "Cambridge Rowing Ltd", “CRE”, “Our”, “We” or “Us”)

ACCEPTANCE OF TERMS: By participating in rowing experience days and/or lessons provided by Cambridge Rowing Ltd, you agree to comply with and be bound by these terms and conditions. If you do not agree to these terms, please refrain from participating in the rowing experience.

PARTICIPANT ELIGIBILITY: Participants must meet any age, health, and skill requirements set by Cambridge Rowing Ltd. Participants must also follow all safety guidelines and instructions provided by the instructors or staff.

ASSUMPTION OF RISK: Rowing involves inherent risks, including but not limited to the risk of injury or death. Participants voluntarily assume all risks associated with the rowing experience, and Cambridge Rowing Ltd shall not be held liable for any injuries or damages sustained during the activity. A waiver form will be sent to all participants prior to their event, which will include a detailed risk assessment.

HEALTH AND SAFETY: Participants must inform Cambridge Rowing Ltd of any medical conditions, injuries, or other health-related concerns that may affect their ability to participate in the rowing experience. Participants are responsible for their own safety and must follow all safety guidelines provided by Cambridge Rowing Ltd.

CONDUCT: Participants are expected to behave responsibly and follow the instructions of Cambridge Rowing Ltd staff or instructors. Any disruptive or unsafe behaviour may result in immediate termination of the participant's involvement in the rowing experience.

EQUIPMENT USE: Participants must use all rowing equipment responsibly and in accordance with the provided instructions. Any damage to equipment due to misuse or negligence may result in financial responsibility for repair or replacement.

BOOKING AND CANCELLATIONS: Our rowing experiences are subject to availability, weather conditions, operational matters and fleet availability and as a result are subject to delay / cancellation at short notice. Cambridge Rowing Ltd shall not be held responsible for the costs of travel, accommodation or any other associated costs should your experience be cancelled for any reason, including unusable boat, poor weather, operational or public health reasons.

The instructor/s, can (at their discretion) refuse any person to take part in the experience if he/she suspects them to have consumed alcohol or illegal substances/drugs within the previous 24 hours and no refund will be payable from Cambridge Rowing Ltd in view of loss of experience.

Whilst we operate all year around. Our cancellation policy depends on the season. Full information below;

Peak season: Apr – Oct

Off Peak season: Nov – Mar

PERSONAL EXPERIENCE CANCELLATIONS:

Outdoor rowing experience, Indoor rowing experience and/or Punting (cancellations before event date)

  • Peak season

10+ days = Full refund or transfer of ticket

7-10 days = 50% refund or transfer of ticket

1-7 days = No refund, transfer option only with £20 rebooking fee

Less than 24hrs = No refund, transfer option only with £30 rebooking fee

  • Off Peak season

7+ days = Full refund or transfer of ticket

7-3 days = 50% refund or transfer of ticket (rescheduling fees applicable)

Less than 3 days = No refund, transfer of ticket option only with £10 rebooking fee

YOUTH COURSE / PRIVATE GROUP / CORPORATE BOOKING CANCELLATIONS:

To book a date, a deposit payment of 1x boat is required or 40% of the total order - whichever is greater.

 

Outdoor rowing experience (cancellations before event date)

  • Peak season

12+ weeks = full refund of deposit, less £100 admin fee

12-8 weeks = 50% refund of deposit or transfer of ticket (rescheduling fees applicable)

Less than 8 weeks = No refund

  • Off Peak season

4+ weeks = full refund of deposit, less £100 admin fee

2-4 weeks = 50% refund of deposit or transfer of ticket (rescheduling fees applicable)

Less than 2 weeks = No refund

 

Indoor rowing experience and/or Punting (cancellations before event date)

  • Peak season

8+ weeks = full refund of deposit, less £50 admin fee

8-2 weeks = 50% refund of deposit

Less than 2 weeks = No refund

  • Off Peak season

4+ weeks = Full refund of deposit, less £50 admin fee

4-2 weeks = 50% refund of deposit

Less than 2 weeks = No refund

RESCHEDULING: Changes, additions, and rescheduling are all possible (subject to availability). This includes the time and dates for your private bookings, which can be made up to 7 days in advance by calling 01223 665000 or emailing info@cambridgerowing.com. Rescheduling to peak from off peak may result in additional costs. If you need to reschedule your experience day between 3-7 days in advance, you must pay a £30 (per booking) rescheduling charge for private experiences and £250 for group bookings, experiences and events.

LATE ARRIVALS: We ask everyone to arrive 10min before the scheduled time as a delayed start will impact all other participants. We will hold the experience for up to 10 minutes, after this point it may not be possible to take part in the experience OR your experience may be shortened which will also impact all other group members. Call us on 01223 665000 or 07507 718791 if you’re going to be late so we can advise all other participants. Bookings cannot be changed/rescheduled.

NO SHOWS: If you do not show up or you arrive later than 10 minutes after the event start time (with or without prior notice) we will consider you to be a ‘no show’ forfeit. We do not offer full or partial refunds in this situation.

BAD WEATHER: In the event of poor weather, we regularly check the forecast and will contact all participants at least 24 hours before the event date. Cambridge Rowing Ltd will assess the weather 12 hours prior to the event date and make a final decision. If you’re not keen to continue with your booking on a day that we are open, our standard cancellations or rescheduling policy applies.

YOUR BOOKING: Your experience is reserved under your name for the booked time and date. Tickets can be transferred to someone else at no extra charge, providing the participant meets our terms on age, height and weight restrictions. We would need to be notified at least 12 hours before the event and a waiver form must be completed if not already done so.

PHOTOGRAPHY AND MEDIA: Participants may be photographed or recorded during the rowing experience. Cambridge Rowing Ltd will share these will all the participants taking part in the same session. Cambridge Rowing Ltd reserves the right to use these images or recordings for promotional or marketing purposes unless otherwise specified by the participant. This request must be made prior to the event.

CHANGES TO ITINERARY: Cambridge Rowing Ltd reserves the right to make changes to the rowing experience itinerary, including but not limited to route changes, schedule adjustments, or cancellations due to weather conditions or unforeseen circumstances.

LIABILITY: We hold all required insurances for our business activities. Please note that to the extent permitted by law, our team shall not be liable for any claims, losses, damages or injuries, sustained or incurred during the experience including on the hard or in the boat.

COMPLAINTS: If you are unhappy with any aspect of our experience or service, please let a member of our team know at the time so that we have the opportunity to resolve the issue and turn your day around. Alternatively, please get in touch on 01223 665000 or by email at info@cambridgerowing.com.

WITHDRAWAL OF SERVICE: In the unlikely situation that we have to withdraw a service that you have booked (i.e. issues with boat/s, fast stream, bad weather etc.), we will contact you directly with alternative choices or offer you a full refund.

SAFETY: On the day, you must follow the directions of your instructor. Our team have been trained and will provide a safety briefing before you get in the boat. Our signature experience will be in the VII boat, the largest and safest boat in our fleet. The risk of a capsize is highly unlikely but not impossible. Providing all participants listen and follow the safety briefing carefully, this will significantly minimize any possibility of anyone falling in the river or getting injured. On request, lifejackets can be provided. When completing the online waiver form, there is a full risk assessment that all participants must read.

OPENING HOURS: We are open 7 days a week, from 4th January to 20th December subject to weather conditions. Our Personal experience days are typically held on the weekends between 10:00-13:00. Our private group sessions and corporate teambuilding days are largely Mon-Fri anytime between 09:00-18:00.
